An international, research-driven organisation is seeking a highly organised and proactive Administrative & Financial Assistant to support the smooth day-to-day operations of a dynamic, multidisciplinary team. You will work closely with senior leadership, researchers, and internal stakeholders to facilitate operational efficiency and contribute to the successful delivery of projects in an international and collaborative environment.

Missions
Financial and Grant Support
- Assist with budget tracking and monitoring of project expenditures
- Support financial reporting activities (including salaries, invoices, and expenses)
- Contribute to financial forecasts and budget preparation
- Manage procurement processes and expense follow-up
HR and Personnel Administration
- Support recruitment processes and preparation of employment documentation
- Coordinate onboarding and offboarding activities for staff and collaborators
- Maintain personnel records and track absences, contracts, and administrative lifecycle processes
- Provide administrative support for visiting researchers, interns, and temporary staff
Executive and Administrative Support
- Manage calendars, schedule meetings, and coordinate appointments for senior staff
- Provide general administrative support to ensure smooth team operations
Events and Travel Coordination
- Organise meetings, workshops, seminars, and conferences
- Coordinate travel arrangements, including logistics and reimbursements
- Support the organisation of internal events and team activities
Mobility and Visitor Support
- Facilitate the arrival and integration of international staff and visitors
- Assist with visa applications, accommodation, and health insurance arrangements
- Manage travel logistics for guests and collaborators
Coordination and Liaison
- Act as a point of contact with internal departments and external partners
- Coordinate with funding bodies and administrative services as required
Profil du candidat
- Proven experience in an administrative support role, ideally within an international, academic, or research environment
- Strong organisational and multitasking skills, with attention to detail
- Proactive, service-oriented mindset with the ability to work independently
- Fluent in French and English (written and spoken)
- Excellent command of Microsoft Office tools (Outlook, Word, Excel, PowerPoint)
- Strong interpersonal skills with the ability to work in a multicultural environment
