Responsibilities:
- Supports the coordination and the implementation of academic events and experiential activities (e.g., masterclasses, field trips, immersions) in line with institutional priorities and program needs
- Monitor event planning timelines, standard operating procedures, and documentation
- Liaise with Academic Events Officer to coordinate the planning and execution of masterclasses and industry sessions
- Ensure smooth integration into the academic calendar and manage logistical details
- Supports the logistical organisation of all academic trips, including travel, accommodation, meals, scheduling, risk documentation, and participant communication
- Support academic teams in ensuring pedagogical relevance and optimal student experience
- Maintain clear communication channels for all stakeholders involved
- Attend all academic events, field trips. Masterclasses, on-site academic industry related events when required
- Manage students during academic excursions
- Organise and coordinate all logistical aspects: venues, transport, accommodation, catering, AV/IT requirements, safety measures, and student supervision
- Provide operational support on-site during major events or trips
- Handle real-time adjustments and troubleshoot logistical issues as needed
- Maintain shared calendars, event trackers, and planning tools
- Ensure experiential activities contribute positively to the overall student experience and meet academic quality standards
- Support communication with students regarding event details and expectations
- Gather student feedback and support post-event evaluation and reporting
Profile and experiences:
- Bachelor's or CFC is acceptable depending on prior experience and other credentials
- Experience in hospitality, education, event or service-oriented environments preferred
- Strong organizational and coordination skills
- Problem solving skills
- Project management skills
- Good verbal and written communication skills in English
- Ability to manage multiple activities simultaneously and follow established processes
- Capable of handling several requests at the same time
- Ability to manage stress and take appropriate decisions when needed
