JOB PURPOSE
Aiglon College is an international boarding school based in the Swiss Alps with a worldwide reputation for providing a challenging holistic education in an inspiring setting within a safe, caring and supportive framework. The Summer Camp caters for over 500 students each summer, aged 8-16 years old, representing over 45 nations.
Summer Camp staff are expected to make a significant contribution to the ethos of Aiglon and the Summer Camp. The expectation is that staff will be positive and contribute enthusiastically to the work and life of the Summer Camp, creating a safe and welcoming environment for all.
This role is to assist the day to day running of the Summer Camp office, supporting the Director of Summer Camp and Summer Camp team with all elements of administration.
The dates of employment are April 7th - 1st August 2026. During Summer Camp (27th June onwards) the working schedule will be 6 days per week.

KEY TASKS AND RESPONSIBILITIES
Duties include:

Preparation of planning documents ahead of the Summer Camps programmes - including both staff schedules and operational planning for student courses.

Assist the Summer Camp team with programme bookings for all courses, for example bus bookings, activities bookings.

Assist in sharing planning information/leadership of general staff meetings during the Summer Camp as requested by the Director of Summer Camp.

Management of residential student arrival and departure scheduling, and sharing information with the staff team.

Liaise as requested with the estates and housekeeping team, catering team, campus cafe, health centre team and other key staff with regards to the courses taking place during the school holidays.

In collaboration with the Summer Camp office team, ensure that all databases and systems are up-to-date, in particular the running of Enterprise iSAMS and its reporting module and Open Apply for applications to the Summer Camp.

Answer the telephone and reply to all enquiries.

Check emails (including the general department email account) and mail daily, ensuring that they are dealt with appropriately.

Prepare student and staff ID cards for specific courses.

Assist with on-campus events such as family visits, new student arrival and departure.

Prepare draft emails and send mailings as required by the Director of Summer Camp.

Maintain a good relationship with Summer Camp families and agents at all times.

Order and prepare resources, materials and equipment for courses and events.

Assist in the creation and distribution of travel arrangement lists for arrivals and departures of residential courses.

Assist with all aspects of student travel - documentation for UM transfers, lost luggage, student visa letters.

Liaise with the Computer Services Department where support is needed for IT and database management.

Assist with the administration of Summer Camp finance matters - including deposits, payments, reminders, cancellations, invoices and reimbursements.

Deal with students’ health and accident insurance for courses.

Provide administrative support to Summer Camp staff as required, including any HR documentation.

Uphold the ethos and values of the school, having respect for all colleagues and ensuring that all school related matters are dealt with in the strictest of confidence.

Be an active participant in Summer Camp school life and in agreement with the Director of Summer Camp, assist in the operation of Summer Camp events.
OTHER TASKS AND RESPONSIBILITIES

Undertake any other tasks which may be reasonably required by the Director of Summer Camp to assist in the smooth running of the programme.

Understand and implement all school policies and procedures, particularly those relating to the safeguarding of children and young people.

Understand the School’s Guiding Principles and uphold the ethos of the School at all times.
