Job Description
As part of a planned transition, the recruited person will benefit from a handover period allowing them to gradually take over all responsibilities related to the position.
Starting no later than 1 October 2026 is strongly desired.
This role has a dual dimension:
Senior legal assistance to several partners;
Progressive coordination of the firm’s administrative team, including Team Leadership and Office Management components.
The firm mainly operates in Corporate, banking law, M&A, labour law, and inheritance law.
Your main responsibilities
Assistance to two Partners
- Provide daily assistance to several Partners;
- Manage their calendars, appointments, and travel arrangements;
- Organise, prioritise, and anticipate various priorities;
- Ensure administrative follow-up of their activities and files;
- Interact with various internal and external contacts.
File management and follow-up
- Coordinate and monitor the various administrative and legal aspects of files, in French and English;
- Ensure deadlines are met and priorities are followed up;
- Prepare, format, and manage documents and correspondence;
- Coordinate exchanges with Partners and various stakeholders;
- Participate in certain meetings between Partners;
- Draft minutes, meeting reports, and internal notes;
- Ensure follow-up of decisions made and internal information transmission;
- Handle client invoicing and associated administrative follow-up.
Coordination of the administrative team
Ultimately, the recruited person will become a reference point for the administrative team, involved in legal assistance, reception, and intellectual property.
The assumption of this responsibility will be gradual during the handover period and will notably include:
- Daily coordination of the administrative team;
- Organisation and distribution of activities and priorities;
- Monitoring the smooth administrative operation of the firm;
- Coordination between Partners and teams;
- Internal communication and information transmission;
- Harmonisation and monitoring of working methods;
- Management of common organisational issues.
Profile sought
Education
- Master’s level higher education;
- Master’s in humanities or communication ideally;
- Other qualifications may be considered depending on the quality and relevance of professional experience;
Experience
- Minimum five years of professional experience;
- Experience gained within a Swiss law firm or in a directly comparable environment;
- Significant experience as a Senior Legal Assistant is highly preferred;
- Exposure to Corporate, business law, banking law, M&A, labour law and/or inheritance cases is a major advantage;
- First experience in team coordination, Team Leadership or Office Management is a real asset.
The role requires sufficient seniority and professional maturity to work directly with demanding Partners, while gradually becoming a reference person for the administrative team.
Language skills
- French: Excellent command and writing skills;
- Ability to draft minutes, reports, notes and internal communications with a high level of writing;
- English: Perfect command of spoken and written English, corresponding to a C2 level or near-native;
- Ability to work completely autonomously in this language.
IT skills
- Excellent command of Microsoft Word, Excel and PowerPoint;
- Knowledge of ELLE software is an advantage.
