On behalf of one of our clients, a Geneva-based non-profit organisation, we are looking for an:
Administrative Coordinator

You will operate in a demanding and highly confidential environment requiring strong organisational skills, reliability and a proactive mindset.
Responsibilities:
- Coordinate and oversee daily administrative and operational activities.
- Manage calendars, meetings, travel arrangements and logistics.
- Handle correspondence and document management in both French and English.
- Support administrative and financial follow-up in coordination with external partners and accounting providers.
- Prepare expense reports, monitor invoices and contribute to budget and expense tracking.
- Coordinate interactions with suppliers, service providers and external stakeholders.
- Assist in the organisation of events, conferences, meetings and training sessions.
- Contribute to the coordination of projects and activities related to the organisation’s mission and initiatives.
- Support institutional communication activities and update communication materials and content.
- Ensure smooth office operations, including supplies management and administrative coordination.
- Prepare documents, presentations, reports and materials for management.
- Maintain a high level of confidentiality and professionalism when handling sensitive information.
- Actively contribute to the smooth functioning of an organisation committed to impactful and purpose-driven initiatives.
Profile:
- University degree or equivalent qualification.
- Proven experience in an administrative coordination, executive assistant or office management role within a demanding environment.
- Previous experience within a non-profit organisation, association or mission-driven environment would be considered a strong asset.
- Perfect command of both French and English, written and spoken.
- Excellent organisational and multitasking abilities with strong attention to detail.
- Excellent writing and communication skills.
- Ability to work autonomously while interacting effectively with a variety of stakeholders.
- High level of discretion, confidentiality and professionalism.
