The Beaulac Hotel is a superior 4-star hotel with 116 rooms, ideally located on the shores of Lake Neuchâtel, offering an exceptional view of the Alps and the city. It provides a complete experience thanks to its panoramic Waves lounge bar on the 7th floor, its Lake Side brasserie facing the lake, as well as its conference centre.
A key player in French-speaking Switzerland, the establishment is part of a hotel group that also includes the Ibis Hotel in Thielle and the Design Hotel F6 in Geneva. It is committed every day to offering high-end services based on expertise and interpersonal skills across all its trades: accommodation, catering, reception and events.
In this context, we are looking for an Administrative and Project Coordinator (80% to 100%, permanent contract), a versatile position combining support to management, administrative coordination, communication and customer experience.

Support to management & administrative coordination
- Proactive management of the agenda, prioritisation and coordination.
- Organisation of meetings, business trips and events.
- Preparation of files, presentations and dashboards.
- Coordination and follow-up of projects assigned by management.
- Writing minutes, letters and administrative documents.
- Monitoring emails, contracts and deadlines.
- Management, filing and archiving of administrative documents.
- Centralisation and synthesis of key information.
- Administrative follow-up of sales (invoicing, orders and various administrative follow-ups).
- Management of office supplies and supplier relations.
- Contribution to the continuous improvement of administrative and organisational processes.
Communication, image & social media
- Writing and updating the establishment's communication materials (menus, cards, commercial supports, etc.).
- Coordination of projects with external providers (graphic designers, printers, agencies, etc.).
- Updating the website.
- Highlighting events, offers and experiences proposed by the hotel.
Customer experience & quality
- Handling and follow-up of customer feedback.
- Coordination with different departments to ensure a coherent, personalised customer experience that meets the expectations of a demanding clientele.
- Implementation, analysis and monitoring of satisfaction indicators.
- Writing, updating and monitoring internal procedures related to service quality.
- Participation in monitoring the application of the establishment's standards across departments.
- Participation in implementing actions aimed at customer loyalty and strengthening their commitment to the establishment.
- Contribution to developing a service-oriented culture, quality and operational excellence within teams.
Operational support
- Acting as a liaison between management and various departments to promote effective communication and optimal coordination of activities.
- Providing support to operational teams to contribute to the smooth daily running of the establishment.
- Contributing to anticipating operational needs and finding suitable solutions in case of unforeseen events.
- Occasionally participating in customer reception and interdepartmental coordination.
- Contributing to the smooth customer journey, from arrival preparation to post-stay follow-up.
- Providing administrative support to various departments according to priorities and business needs.
- Ensuring compliance with internal procedures and contributing to the continuous improvement of operational practices.
- Demonstrating flexibility and adaptability to respond effectively to the establishment's needs in a dynamic environment.
Your profile
- Experience in the hospitality sector is required.
- Excellent organisational skills, versatility and adaptability.
- Strong sense of service, quality and attention to detail.
- Ability to manage priorities effectively and handle several files and projects simultaneously.
- Autonomy, proactivity and initiative, with a solution-oriented approach.
- Excellent writing, interpersonal and communication skills.
- Neat appearance, positive attitude and professional demeanour.
- Friendly, approachable personality comfortable in human relations, with a genuine sense of welcome and contact.
- You enjoy working in a team and know how to create simple, positive and professional relationships with your various contacts.
- Ease in evolving in a dynamic, demanding and constantly changing environment.
Languages
- French: native language.
- English: fluent (spoken and written).
- German: an appreciated asset.
Conditions
- Permanent contract.
- Activity rate: 80 to 100%.
- Working hours mainly Monday to Friday (daytime).
- Occasional flexibility expected during events or in case of exceptional operational needs.
