The Private Division of the HUG guarantees access to therapies and treatments at the forefront of medical research and to high-end hotel services. It is composed of seven care units covering more than 24 medical and surgical specialties and offers patients a warm welcome and quality care, cutting-edge services, and access to a highly efficient technical platform, while ensuring their comfort and well-being.
Reporting directly to the Head of Nursing (HoN), you ensure the complete organisation and management of the Private Division (PD) nursing secretariat with a high level of autonomy, efficiency, and reliability. Your knowledge of the institution, its processes, and its challenges allows you to intervene pertinently and coherently in the follow-up of files and the coordination of activities.
In this capacity, you coordinate the activities of the Head of Nursing and contribute to the smooth running of the Private Division. You organise and manage diary schedules, coordinate meetings, and ensure their full follow-up: preparation of agendas, collection and consolidation of information, monitoring of files, drafting of minutes, and implementation of decision follow-up.
A true organisational partner of the Head of Nursing, you participate in monitoring strategic priorities, coordinating projects, and managing deadlines. You update dashboards, monitor indicators related notably to staffing, resources, and budgets, and ensure the effective flow of information between the various stakeholders involved.
In close collaboration with the nursing managers of the Private Division, you coordinate the monitoring of schedules and absences of team leaders and contribute to the integration and administrative support of new staff according to the delegations defined by your hierarchy.
Thanks to your interpersonal skills and your transversal vision of activities, you play a key interface role between nursing teams, support services, internal and external partners. You ensure the coherence of actions taken, promote collaboration, and actively contribute to the progress of projects and institutional files.
You provide essential organisational, communication, and coordination support for the conduct of the division’s activities and projects. Through your ability to anticipate, prioritise, and analyse situations, you are a central actor in the follow-up of complex files and the implementation of decisions.
Your professionalism, autonomy, initiative, and ability to coordinate multiple interlocutors allow you to operate in a demanding environment while guaranteeing the confidentiality of processed information and compliance with institutional rules.
Qualifications
Holder of a Federal VET Diploma as a commercial employee complemented by an administrative training at the federal diploma level as an assistant to management or a medical secretarial training, you have at least five years of successful experience in the complete management of a secretariat, ideally within a management and nursing environment. You have an excellent command of the French language, both spoken and written, and possess excellent writing skills. Proficiency in English or German is required. Knowledge of another language is an asset.
Ideally, you have knowledge of the HUG, their organisation, processes, and challenges, which allows you to intervene pertinently and be quickly operational, or of a similar environment. You work autonomously, know how to make decisions without constant supervision, and anticipate the needs of your interlocutors. Your analytical mind and strategic vision enable you to structure information, prioritise tasks, and actively contribute to the division’s projects.
You master common IT tools, notably Word (ECDL Advanced level or equivalent), Excel, PowerPoint, the Web Switchboard, and Microsoft 365 collaborative tools (OneDrive, Teams, SharePoint). Experience with SmartRecruiters, Vision HR, or e-Process applications is a significant advantage.
