We are partnering with a small international non-profit organization based in Geneva to identify an experienced Team Assistant at 50% for a short-term assignment. This is a hands-on position supporting the smooth day-to-day running of the office while providing administrative, logistical and facilities coordination support to a close-knit and international team.
Team Assistant 50% (1 month)

Missions
Office Administration & Coordination
- Act as the main point of contact for visitors, suppliers and incoming enquiries.
- Ensure the smooth day-to-day operation of the office.
- Manage office supplies, equipment and workplace resources.
- Coordinate maintenance, cleaning services, couriers and external vendors.
- Maintain a professional and welcoming office environment.
Executive & Administrative Support
- Provide administrative support to senior leadership.
- Coordinate calendars, meetings and travel arrangements.
- Maintain filing systems, records and documentation.
- Support various teams with administrative and organizational tasks.
- Handle data entry and document management activities.
Meetings, Travel & Events
- Organize internal meetings and external appointments.
- Coordinate travel bookings and related logistics.
- Support the delivery of team events and meetings.
- Manage meeting rooms and catering arrangements where required.
Vendor & Facilities Management
- Liaise with suppliers and service providers.
- Support invoice administration and budget tracking activities.
- Monitor office-related expenses and ongoing requests.
- Ensure facilities issues are addressed efficiently.
Profil du candidat
- Minimum 5 years' experience in an Office Coordinator, Executive Assistant, Office Manager or similar administrative role.
- Previous experience within a non-profit, international organization or small structure is an asset.
- Strong organizational skills with the ability to manage multiple priorities.
- Proactive, service-oriented and solutions-focused mindset.
- Excellent communication and interpersonal skills.
- Ability to work independently and take ownership of responsibilities.
- High level of discretion and professionalism.
Technical Skills
- Strong command of Microsoft Office (Outlook, Word, Excel and PowerPoint).
- Experience with SharePoint or similar document management systems.
- Comfortable working in a fast-paced and hands-on environment.
Languages
- Fluent English and French are required.
Conditions et Avantages
Contract Details
- Temporary assignment of approximately one month.
- 50% workload (20 hours per week).
- Immediate availability required.
- Geneva-based position.
