Your tasks
- You prepare meetings, appointments, trips and events and ensure rigorous follow-up
- You keep an overview of outstanding tasks, mandates and deadlines and ensure that nothing is forgotten.
- Proactive management of the director's agenda and coordination of appointments, commitments and internal and external requests
- You support the preparation of correspondence, presentations, documents and other materials intended for management
- Organisation and support of executive board and foundation council meetings, from annual planning and agenda setting to preparation of documents and minutes, including documentation and follow-up of decisions
- You coordinate certain management meetings with external institutional partners
- You independently handle organisational and administrative files and participate in cross-functional projects and activities
- Contribution to the development of work, information and filing processes related to management as well as optimisation and digitisation of our administrative working methods
Your profile
- Initial commercial training or equivalent, supplemented by relevant further training, ideally as an executive assistant, in management or business administration, or a tertiary-level diploma with corresponding professional experience
- Several years of experience in a demanding assistance, staff or coordination role, ideally with an executive board or management
- Experience in organising and supporting management bodies. Experience in the education sector, public sector or a politically related environment is an advantage
- You express yourself fluently, both orally and in writing, in German or French and have very good knowledge of the other language. You also have good knowledge of English; Italian is an asset
- You always handle confidential information professionally and discreetly
- You have excellent command of digital work tools and a good understanding of efficient digital work processes, document management and information organisation
- You are willing to use new digital tools responsibly and appropriately, including applications based on artificial intelligence
