Administrative Manager – Law Firm (100%)
Your mission
You ensure the complete management of the secretariat and centralised administrative support guaranteeing the proper handling of files and daily operations. You are also responsible for billing operations and accounting follow-up. Your responsibilities notably include:
Secretariat & administration
- Management of calendars and monitoring of legal deadlines
- Handling of mail (receipt and dispatch)
- Formatting and proofreading of legal documents, preparation of slips, copies of legal files
- Opening, management and archiving of files
- Correspondence with clients, authorities and courts
Accounting & billing
- Billing of mandates, payment follow-up and debtor management
- Maintaining the accounting of the Firm and partners
- Payment of salaries and suppliers
- Preparation of VAT returns
Coordination & supervision
- Supervision of the commercial apprentice
- Management of the office supplies and relations with suppliers
- Internal coordination and operational support to lawyers
Your profile
- Federal Diploma of Vocational Education and Training (CFC) as commercial employee or equivalent training
- At least 10 years of professional experience in an administrative role with responsibilities, with solid experience in accounting and billing; experience in Switzerland required.
- Excellent command of French (spoken and written) and knowledge of English (B2)
- Advanced proficiency in IT tools (Office 365). Knowledge of Forensys is an asset.
- You demonstrate a service-oriented mindset, team spirit, rigorous organisation, autonomy, good sense of priorities and good ability to thrive in a demanding environment.
