Directly reporting to the Secretary General, you hold a central role within the municipal administration. You ensure the coordination and monitoring of cross-functional administrative files and are responsible for the organisation and smooth operation of the municipal reception, which consists of two collaborators.
Administrative Coordination Manager at 80%
Responsibilities:
- Ensure the coordination and administrative follow-up of cross-functional files within the municipal administration;
- Organise and supervise the operation of the reception, manage the team and guarantee the continuity and quality of the welcome;
- Coordinate the handling of mail, the monitoring of deadlines and the circulation of information within the administration;
- Ensure the management and administrative follow-up of various municipal services, authorisations and procedures;
- Prepare and ensure the administrative follow-up of meetings, files and decisions;
- Ensure the proper use and updating of administrative management tools, databases and internal procedures;
- Actively participate in the reliability, simplification and continuous improvement of administrative processes;
- Work closely with the Secretary General and the various departments of the administration.
Experience within a public administration, ideally municipal, is an asset.
Specific conditions of employment:
- Certificate as an executive assistant or a university degree considered equivalent;
- Proven professional experience in an administrative role including responsibilities for coordination and file monitoring;
- Demonstrated experience or aptitude in managing a small team;
- Excellent command of French, both spoken and written;
- Very good command of IT tools and ease with digital environments;
- Excellent organisational skills, rigor and ability to manage several files and deadlines simultaneously;
- Autonomy, initiative and ability to set priorities;
- Interpersonal skills, sense of collaboration and public service;
- Professional discretion and strict respect for confidentiality.
