We’re looking for a Guest Services & Events Coordintor, for a six-month period, who will be part of the Sport & Competitions department, in the World Headquarters in Mies – Vaud, reporting directly to the Head of Events.

Guest Services & Events Coordinator

ROLE SUMMARY

Reporting to the FIBA Head of Events, the Guest Services & Events Coordinator will have two main responsibilities:

  1. Support the FIBA Guest Services Manager to ensure a successful planning and delivery of guest services – defined as accommodation and board, transportation, assistance in visas and travel, protocol – for the FIBA Basketball World Cup 2023 as well as the U19 Women’s Basketball World Cup (60%);
  2. Support the Head of Events in planning and administrative duties related to the FBWC 2023 or other events, in particular in relation to staffing, knowledge transfer and briefing materials for various stakeholder groups (20-40%).

 

Duration of the role: 15 April to 15 October (6 months).

We’re looking for an Intern, for a six-month period, who will be part of the Communications department, in the World Headquarters in Mies – Vaud, reporting directly to the Head of Digital.

 

SCOPE OF WORK / GUEST SERVICES (60%)

  • FBWC 2023 Planning

o Take over communication and registration process for the World Cup for a number of agreed stakeholder categories, using the registration platform set up by the Guest Services Manager.

o Monitor registrations, provide assistance and take action in case of delays and queries. Take part in calls with Hosts and Teams in support of the Guest Services Manager.

o Attend the Staff Workshop scheduled on 23-26 May in Chamonix, France and support its organization as required.

  • FBWC 2023 Delivery

o Travel to Manila for on-site Guest Services operations for the Group Phase. Act as main point of contact for agreed categories on site. Coordinate with other personnel in charge of specific stakeholder groups as agreed.

o Support the Guest Services Manager in all Final Phase operations until final departures.

o Take part in post-event reporting and knowledge transfer.

  • U19 Women’s Basketball World Cup Planning and Delivery

o Take over planning and roll-out of Guest Services for the U19 Women’s Basketball World Cup scheduled in Madrid, Spain, in July 2023.

o Lead communication and registration process for the World Cup for all stakeholder categories, using the registration platform set up by the Guest Services Manager. Monitor registrations, provide assistance and take action in case of delays and queries. Conduct calls with the Host to finalise arrangements.

o Travel on site for the Event delivery.

SCOPE OF WORK / EVENTS SUPPORT (20-40%)

  • Support the Head of Events in planning and operations related to the World Cup. Assist in preparing internal or external briefs, documents, reports
  • Attend meetings with Local Organizing Committee and other stakeholders and report as needed.

  • FBWC 2023 Draw (optional): 25 April to 1 May, Manila (Philippines)
  • FBWC 2023 Staff Workshop: 23-26 May, Chamonix (France)
  • U19 Women’s Basketball World Cup: 10-23 July, Madrid (Spain)
  • FBWC 2023: approx. 15 August to 10 September, Manila (Philippines)

PROFILE

  • Previous experience working in stakeholder services for sports events preferred
  • Ability to work under pressure and meet deadlines
  • Planning, organizational and problem-solving skills
  • Team player, with good communication skills
  • Analytical mind, attention to detail
  • Willingness to travel
  • Good computer skills and excellent knowledge of MS Office environment
  • Knowledge of Event-Works platform a plus
  • Fluent business English (spoken/written), other languages a plus
