Presentation:
ECAL/Lausanne University of Art and Design is a key institution on the art and design scene. It offers six Bachelor programmes (Visual Arts, Cinema, Graphic Design, Industrial Design, Media & Interaction Design, Photography) and six Master programmes (Visual Arts, Cinema, Product Design, Digital Experience Design, Photography, Type Design). It also provides a Preparatory Year that prepares students for entry into its departments and two Master of Advanced Studies in Design for Luxury & Craftsmanship and Design Research for Digital Innovation.
Accounting and Administration Assistant
Main Responsibilities:
In collaboration with the Finance and HR team, you will:
- Manage routine accounting and financial operations;
- Establish and monitor invoicing for tuition fees, projects, mandates, infrastructure and other services;
- Enter accounting entries into the financial ERP (Oracle) and participate in reconciliations as well as periodic and annual closings;
- Handle the administrative and financial monitoring of research and development activities, including cost control, budget tracking and preparation of financial reports;
- Carry out operational activities related to the management of visiting professors, in collaboration with department heads and the secretariat;
- Coordinate administrative procedures related to insurance and follow up on claims;
- Support staff in their administrative and accounting procedures;
- Contribute to the continuous improvement of procedures, processes and management tools;
- Provide administrative support to the Finance, Human Resources and Administration sectors.
Profile sought:
- Federal Certificate of Competence (CFC) as a commercial employee or equivalent qualification
- Additional training in accounting and finance (an asset)
- Proven experience in a versatile accounting, financial or administrative role
- Proficiency with IT tools (Office 365, Teams)
- Strong knowledge of a financial ERP (Oracle or equivalent)
- Ability to coordinate processes involving multiple stakeholders
- Rigour, sense of responsibility and public service ethics
- Adaptability, flexibility, organisation, priority management
- Team spirit, listening skills and communication
Work rate: 80%
Start date: immediate or to be agreed
Contract duration: permanent contract
