The Science Promotion Service (SPS) of EPFL in Valais is looking for a 40% Administrative Assistant to contribute to the organisation and success of its activities aimed at young people, schools and the general public. At the heart of the operational functioning of the Valais branch of the SPS, you will ensure the administrative, logistical and organisational coordination of scientific mediation programmes and events.
In close collaboration with the members of the SPS team, you will ensure the smooth running of activities, from their promotion to the collection of feedback on the activity, including registration follow-up and contact with schools and parents. Through your commitment, you will help to introduce science and technology to young people in French-speaking Switzerland and actively participate in the awareness and inspiration mission carried by EPFL.
- Ensure the administrative, organisational and logistical management of the scientific mediation activities of the service in Valais.
- Manage the promotion of activities, registration follow-up and communication with parents, schools or other relevant contacts.
- Organise the resources necessary for the activities, including booking venues and preparing equipment and documentation.
- Contribute to the monitoring and development of activities by collecting and analysing participant feedback and preparing the summaries required for the service reports.
- Participate in team meetings and contribute to a spirit of collaboration, mutual support and sharing within the service.
- Take part in various events of the Science Promotion Service as needed.
- Professional experience in administrative management and support of activities or projects, ideally in the field of scientific mediation, education and/or events; additional training in these areas is an asset.
- Experience in managing administrative processes involving registration follow-up, coordination with external audiences and simultaneous management of multiple deadlines.
- Experience interacting with a variety of external audiences, particularly schools, children, parents and institutional partners; good knowledge of the school environment in Valais is an asset.
- Excellent command of French is essential; proficiency in English and/or German is an asset.
- Very good organisational skills and ability to work independently, take initiative and collaborate effectively in a team.
- Flexible working hours allowing occasional presence at institutional events during the week and some Saturdays per year, with time compensation according to current arrangements.
