Leading company in the field of Heating, Ventilation and Air Conditioning (HVAC) construction and maintenance. A major player in the canton of Geneva and surrounding areas, we design and build local energy infrastructures to supply cities, industries and buildings.
We are looking for a permanent position:
HR Assistant / Management
Under the responsibility of the Human Resources Manager, you ensure the daily management of employee life within the company, providing legal and administrative support to the various company stakeholders.
Main missions
Personnel administration:
- Ensure the maintenance and updating of personnel files: contracts, amendments, work permits, official documents, etc.
- Ensure compliance with applicable legal and contractual provisions regarding labour law (CO, LTr, CCT).
- Prepare employer certificates and other administrative documents related to employees.
- Ensure the conformity and updating of employee access to various internal software and tools, as well as their correct assignment according to their role and responsibilities.
- Manage the administrative follow-up of commercial apprentices and participate in their support as a trainer.
- Manage the vehicle fleet: request offers during renewals and comparisons, vehicle delivery, claims management, customs, fuel invoices, warnings, monitoring payments and procedures related to vehicles, monitoring multipark and vehicle cards.
- Submit requests for schedule exemptions.
- Write and distribute internal HR notes and communications.
- Ensure filing, archiving and proper organisation of HR documents.
- Manage the administrative follow-up of contract terminations: dismissal letters, acknowledgements of receipt, preparation of work certificates, employer certificates for unemployment, return of equipment, pension fund exit and internal communication.
Absence management:
- Make accident and illness declarations to the relevant insurance companies.
- Maintain and update the tracking table as well as HR indicators (KPI).
- Provide individual administrative follow-up of files and maintain regular contact with the concerned employees.
- Collaborate with various external partners: insurance companies, SUVA, AI, etc.
- Monitor absence requests in the internal software in the absence of the HR Manager.
- Participate in the implementation of prevention measures.
Salary management:
- Enter and verify variable salary elements.
- Declare monthly social charges.
- Carry out procedures related to various allowances: maternity, paternity, military service, etc.
- Respond to employee requests regarding working hours, overtime and remuneration elements.
- Participate in payroll controls and verifications in the absence of the HR Manager.
- Prepare salary certificates and other remuneration-related documents.
Company events:
- Participate in organising internal events: children’s Christmas party, year-end party, Escalade race, marathon, retirements, etc.
- Contribute to maintaining a friendly working environment.
Training and development:
- Manage the administrative follow-up of employee training requests.
- Research training courses adapted to identified needs.
- Set up and monitor a dashboard and KPIs related to training.
- Participate in creating and updating an internal training catalogue.
Executive assistant:
- Manage the declaration and administrative follow-up of claims related to construction sites.
- Prepare documents necessary for Board of Directors meetings and General Assemblies of companies.
- Draft letters, minutes and provide occasional administrative support to the CFO.
- Manage the administrative follow-up of the company’s internal contracts (insurance, maintenance and service contracts).
Profile sought
- HR assistant certificate or equivalent training.
- 3 years’ experience in a similar position.
- Good knowledge of the Code of Obligations (CO) and the Labour Law (LTr). Knowledge of the collective labour agreement for the building metallurgy sector is an asset.
- Committed, empathetic and attentive person, with a genuine interest in people and company life.
- Autonomous, rigorous and organised with a good team spirit.
- Discretion and respect for confidentiality inherent to the HR function.
- Excellent command of Office 365, knowledge of Proconcept is a plus.
- Fluent French, English and/or German is a plus.
