Within an international company, reporting to the Finance Department and working closely with managers, local teams, as well as the Group's international HR contacts, you will manage Human Resources for the various Swiss entities.
In this context, we are currently looking for the future:
HR Coordinator
As a key and accessible HR contact, you support employees and managers throughout the employee lifecycle. You operate within a particularly broad generalist HR scope, covering notably manager support, personnel administration, payroll, social insurance, recruitment, reporting, audits, as well as local and international HR projects.
You will be required to manage varied, sensitive, and sometimes urgent requests simultaneously, while ensuring data reliability, meeting deadlines, and compliance with Swiss legislation.
This position is aimed at an autonomous, organised, rigorous, and versatile individual.
Your main responsibilities
Supporting employees and managers
- Advising managers on daily HR issues
- Supporting employees through the various stages of their professional journey
- Participating in the management of sensitive individual situations, conflicts, and relational issues.
- Ensuring the application of internal procedures and Swiss labour law
- Contributing to maintaining a positive working atmosphere and close HR communication
Reporting, Group coordination and HR projects
- Preparing and updating HR dashboards and reports for Switzerland as well as other Group countries
- Collecting, verifying, and transmitting HR data and information requested by the Group, respecting deadlines and internal requirements
- Responding to ad hoc Group requests concerning employees, headcount, payroll, social benefits, absences, or local HR processes
- Ensuring coordination with international HR contacts and ensuring the reliability of communicated data
- Updating organisational charts and employee data in HR systems.
- Participating in the deployment and improvement of HR tools and processes
- Contributing to the Group's local and international HR projects
- Participating in the implementation of training, skills development, and employee engagement actions
- Identifying and proposing improvements aimed at simplifying and securing HR processes
Recruitment and integration
- Gathering and analysing recruitment needs with managers
- Writing and publishing job advertisements
- Managing applications, pre-selections, and interviews
- Supporting managers in the selection process
- Preparing employment offers and contracts
- Organising the administrative and operational integration of new employees
- Monitoring probation periods and various integration stages
- Managing recruitment and follow-up of interns, apprentices, temporary staff, and fixed-term contracts
- Coordinating with schools, universities, recruitment agencies, and external partners
Personnel administration
- Managing the entire employee lifecycle, from entry to departure
- Drafting employment contracts, amendments, work certificates, attestations, and other HR documents
- Creating, maintaining, and ensuring the compliance of personnel files
- Managing affiliations and deregistrations with social insurances and partner organisations
- Monitoring work and residence permits, notably for cross-border and international employees
- Tracking absences, holidays, maternity leave, sick leave, and accidents
- Responding to employee and manager questions regarding internal policies, social insurance, and Swiss labour law
- Handling administrative follow-up of entries, transfers, changes in activity rates, promotions, and departures
- Ensuring confidentiality and reliability of personal and contractual data
Payroll and social insurance
- Preparing, verifying, and transmitting monthly payroll variables
- Collaborating with external providers and financial teams to ensure salary accuracy and compliance
- Performing monthly payroll checks and following up on any corrections
- Managing declarations to social insurances: AHV, accident insurance, daily sickness benefits, maternity insurance, occupational pension, and family allowances
- Monitoring withholding tax and special situations of cross-border employees
- Participating in monthly and annual closings as well as the preparation of salary certificates
- Preparing documents and supporting evidence necessary for internal and external audits
- Collaborating with accounting and financial teams for controls, reconciliations, and closings related to personnel costs
Cross-cutting topics related to the work environment
- Handling various cross-cutting issues necessary for the smooth daily operation of offices
- Managing or coordinating parking space allocation and related requests
- Contributing to workstation layout and the implementation of suitable ergonomic solutions
- Participating in the organisation of internal events, notably year-end events
- Ensuring, in collaboration with relevant contacts, the safety, comfort, and good working conditions of employees
Profile sought & skills:
- Higher education in Human Resources, management, Swiss labour law, or equivalent field
- Personnel management assistant certificate or Federal HR specialist diploma appreciated
- Proven experience in a generalist HR role in Switzerland
- Good command of personnel administration, social insurance, and Swiss payroll principles
- Good knowledge of Swiss labour law
- Excellent computer skills, notably Excel
- Good command of English, both spoken and written
