Salary: CHF 94,809 per annum. 20 days annual leave, 50% employer contribution to health insurance and accident insurance, and to a pension fund.

About The Department of Foreign Affairs and Trade
The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high-quality overseas aid program and helping Australian travellers and Australians overseas.
The department provides foreign, trade and development policy advice to the Australian government. DFAT also works with other Australian government agencies to pursue Australia’s global, regional and bilateral interests.
About the Position
Under general direction of the Estate Manager, the Property Officer assists with the efficient management and maintenance of the property portfolio and assists with some projects at the Chancery. This role involves coordinating daily operations, liaising with tenants and service providers, and ensuring that all properties are well-maintained, compliant, and aligned with organizational standards.
The Property Officer supports day-to-day requests from internal stakeholders related to residential properties and the Chancery. The role handles non-routine issues and interprets guidelines where circumstances vary.
Key responsibilities of the position include but are not limited to:
- Apply and advise stakeholders on DFAT property procedures, policies and relevant guidelines, escalating complex or non-standard matters as required.
- Coordinate and monitor contracts and service providers, including supervising contractors, resolving routine issues and following up on service delivery in line with agreed terms.
- Identify, assess and escalate property, safety or security risks in accordance with established procedures.
- Coordinate daily maintenance requests across the property portfolio, setting and adjusting priorities to meet operational requirements.
- Support the coordination of furniture, fittings, repairs and maintenance activities, including maintaining accurate inventories and coordinating procurement, delivery and installation.
- Coordinate property-related logistics for incoming and outgoing diplomats, including removals, customs requirements, insurance and local residential moves.
- Record, process and acquit property-related invoices and expenditure in SAP, ensuring accuracy and compliance with financial procedures.
- Identify and propose improvements to local property practices and processes, assist with coaching/training and on-the-job guidance of less experienced staff, and provide operational cover for the Estate Manager during periods of leave as required.
Qualifications/Experience /Knowledge/Skills
- Excellent client services skills including well-developed communication and liaison skills.
- Knowledge and demonstrated experience in project management and managing property portfolios in diplomatic missions, including the ability to supervise tradespeople/work teams.
- Ability to interpret policy regulations and guidelines related to property and contract management.
- Demonstrated ability to manage competing priorities and meet deadlines in a busy operational environment.
- Sound judgement and problem-solving skills, with the ability to exercise discretion within established frameworks.
- Ability to work autonomously under general supervision and collaboratively as part of a small team.
- Excellent organisational skills, including ability to organise workloads, set priorities and meet deadlines.
- Demonstrated ability to work ethically and with integrity in business dealings with internal and external clients.
- Proficient ICT skills, including Microsoft Office applications; experience with SAP and knowledge of DFAT processes is an advantage.
- Fluency in written and spoken French and English is required.
