About the job
Do you know how to turn every "hello" into a successful first impression? And keep track when a call, a booking and a visit all happen at the same time? Then become the first face of the ECA for those who contact us or walk through our doors.
To strengthen our cross-functional services division, we are looking for our future:
Reception and Administrative Support Officer at 70%
What awaits you if you join us?
You will join the reception team, the link between the ECA, its public, its partners and its staff. Your welcome will directly contribute to the image of an establishment serving the population of Vaud. This position is organised according to a fixed schedule: Mondays, Tuesdays and Thursdays all day, as well as Friday mornings. Your Wednesday and Friday afternoons remain free, for a good balance between professional and private life.
At reception as well as on the phone, you will ensure a welcome faithful to our quality standards. You will announce visits to the relevant teams and direct the public of exhibitions or training sessions to the right people.
You will manage bookings for training rooms and visitor parking spaces and occasionally support the communications manager with appointment scheduling, orders or placing advertisements. As a substitute, you will take charge of invitations to events and sponsorships, from preparing files to on-site reception.
On a daily basis, you will handle the ECA’s general mailbox and extract call and visitor statistics. You will carry out mail merges and envelope stuffing. Finally, you will pass on your expertise to apprentices.
Your profile:
You hold a commercial employee CFC, a diploma from a hotel secretarial or reception school, or a training considered equivalent. You have at least 5 years’ experience in a similar position.
You know how to manage several requests simultaneously with calm and attention. You rephrase a request to direct it correctly the first time. Your neat appearance and courtesy reflect the values of the ECA. You are proficient in Word, Outlook and Teams, build Excel tables with simple formulas and quickly master tools such as Genesys or scanning software.
Your perfect command of French, both spoken and written, is essential. Knowledge of German and English is an asset.
Does this opportunity inspire you?
We look forward to receiving your application by 10 November. A cover letter is not required; we simply invite you to write 3 to 4 lines describing how your profile resonates with the position, attach your CV, salary expectations, as well as all your work certificates and diplomas.
And next steps:
We process and respond to all applications. For those we wish to meet, we will contact you by phone to invite you to a first interview. The process will continue with a workplace behavioural preferences questionnaire, followed by a second interview to discuss it. You will meet your future manager as well as a human resources representative.
