The Permanent Mission of the Republic of Singapore in Geneva would like to invite suitable candidates to apply for a permanent position of a Protocol/Administrative Assistant at the Mission.
The primary job responsibilities are as follows:
- Provide administrative and logistical support for visiting delegations from Singapore on official visits.
- Liaise and manage bookings with hotels for incoming visits from Singapore.
- Liaise and manage bookings with transport companies, restaurants, etc. for incoming visits from Singapore.
- Work with airport authorities for immigration clearance, VIP lounge access, obtain relevant approval and permits for incoming visits by Singapore VIPs.
- Support and accompany where necessary the Head-of-Mission and Mission staff for official visits outside of Geneva.
- Managing set-up for in-house official events such as meetings and working luncheons, including liaising with vendors for necessary procurement and managing guest lists.
- Assisting the Home-based staff in the set-up and running of official meals conducted at the Official Residence, Chancery or restaurants.
- Assist in the administrative arrangements of other official events that the Mission is invited to participate in.
Administrative Matters:
- Assist the Home-based staff with procurement related preparation work (i.e preparing tender documents, obtaining quotations, etc).
- Assist in the sourcing, negotiating and purchasing of goods and services for the Mission.
- Covering officer for consular related matters
Other duties:
- Other duties as assigned by the supervisor
Applicants should possess the following qualifications:
- Good command of English and French. Ability to speak and understand German would be an added advantage.
- University degree with relevant experience. Prior experience in protocol work or procurement work would be an advantage.
- Attention to detail and ability to maintain accurate records in an efficient and timely manner.
- Strong verbal and written skills with the ability to interact diplomatically and professionally with individuals from various cultural backgrounds.
- Strong organizational and multitasking ability.
- Excellent interpersonal and communication skills.
- Reasonable IT and Microsoft applications knowledge.
