AI Admin Project Manager

The Information Systems Directorate (DSI) is responsible for implementing EPFL's digital strategy: IT strategy and master plan, digitisation of business processes, security, central infrastructures, core business applications, and coordination with the IT services of the Faculties.

As part of the deployment of AI Admin within the Vice-Presidency of Operations (VPO), we are looking for a motivated project manager passionate about artificial intelligence, innovation, and the digital transformation of administrative processes.

Reporting to the head of the VPO-SI service "in charge of information systems for central services" you will work closely with the business units (Central Services), the DSI teams, and those of the VPS, responsible for the deployment of AI Admin at the institutional level.

This position is particularly aimed at someone at the start of their career, graduated from a higher education institution (university, EPF or HES), wishing to apply their technical skills to concrete, visible, and useful use cases for the institution.

Your mission will be to support the identification, prototyping, and implementation of artificial intelligence solutions for administrative processes: understanding user needs, proposing solution avenues, and quickly materialising them in the form of mockups, prototypes, or POCs. Once the use cases are validated, you will participate in their development and integration within a secure framework, favouring EPFL's internal infrastructure.

• Engage with business units to understand their processes and needs
• Identify concrete and high-value AI use cases
• Formalise needs in the form of scoping notes, user stories, or specifications
• Create mockups and prototypes using AI-assisted coding tools
• Develop solutions and proofs of concept
• Test the integration of AI models, APIs, automation tools, or RAG-type approaches
• Collaborate with DSI teams to ensure the security, quality, and integration of solutions
• Document the solutions developed, choices made, and recommendations for evolution

University Master’s degree, EPF or HES diploma in computer science, engineering, data science, or an equivalent technical field.

Initial achievements related to AI, software development, or automation: professional experience, internship, academic project, master’s thesis, hackathon, open source contribution, or personal project.

Required skills

• Good knowledge of genAI technologies: LLM, RAG architectures, AI agents, workflow orchestration, prompt engineering
• Development in Python and integration of API-based solutions (LangChain, n8n or equivalents)
• Familiarity with rapid prototyping and AI-assisted coding tools (Claude Code, Cursor, Lovable, Bolt, Replit, -)
• Use of a versioning tool (Git or equivalent)
• French C1 and English B2 minimum, both written and spoken
• Sensitivity to application security and access management issues

Assets

• Knowledge of business analysis: process mapping, requirements engineering, cost-benefit analysis, ROI modelling
• Agile project management methods (Scrum, Kanban)
• Sensitivity to regulatory requirements related to AI systems (European AI Act, Swiss DPA, data governance)
