About the job
To strengthen our residents' control service, we are looking for an administrative assistant (80%). The person manages all requests and files related to residents' control, which aims to provide authorities and public administrations with the basic information they need, including for statistical purposes, about established or staying persons. They perform administrative tasks at various levels of responsibility and autonomy.
At the crossroads of French-speaking and German-speaking cultures, the municipality of Courtepin welcomes applications in French or German (mastery of one of the two languages as a mother tongue and good knowledge of the other language).
Employment conditions
Fixed-term employment contract of 6 months, which may lead to a permanent contract.
- Ensure reception at the counter
- Process mail and draft correspondence related to their area of responsibility
- Carry out all changes (arrivals, departures, marriages, births, divorces, change of address, etc.)
- Keep all documents and files for residents' and foreigners' control up to date
- Manage requests for information, advice and various information, in compliance with data protection law, residence permits, origin certificates, permit renewals and residence certificates
- Be the reference person for the foreigners' police
- Enter statistical data for the Federal Statistical Office (FSO) and the SPoMi
- Enter all necessary information to keep the building and housing register (RegBL) up to date
- Keep the dog register up to date, including the "Amicus" platform
- Keep the electoral register up to date and organise the entire voting and election process (federal, cantonal, municipal)
- Perform delegated services independently and make decisions in standardised processes within their field of activity
- Analyse requests and propose solutions to the superior
- Participate in meetings, take and draft minutes at the superior's request
- Draft correspondence at the superior's request
- Support other services if needed
- Be the reference person for apprentices
- Perform all tasks not described in this job description that prove necessary for the service's needs
- Experience in a residents' control service
- Training in administration or commerce at CFC level (or equivalent training)
- Knowledge of two official languages (French, German) with good writing skills in one of the two languages
- Proficiency in Microsoft Office software
- Conscientious and discreet
- Ability to work independently and in a team
- Availability and flexibility in working hours (including voting days)
- Sense of responsibility
